This policy explains what information Healing & Restoration Counseling collects, how we use it, who we share it with, and the choices you have. It covers our website, our phone line including our AI phone assistant, and the text messages we send.

Who we are

Healing & Restoration Counseling is a behavioral health practice directed by Teri Entler, MA LMHC. We provide in-person therapy in Millcreek, Washington and Charleston, South Carolina, and telehealth to clients in Washington, South Carolina, and Indiana.

Two kinds of information

Different rules apply to different information, so it helps to separate them. Your health information, meaning anything about your care, your sessions, your diagnosis, or your treatment, is protected health information. It is governed by HIPAA and by the confidentiality laws of the state where you receive care. How we use and disclose it is described in our Notice of Privacy Practices, which you receive when you become a client and can request at any time.

Everything else, such as a message you send through the contact form, the fact that you called us, your phone number, and how you use this website, is covered by this policy.

Information we collect

  • Information you give us directly: your name, phone number, email address, the location you select, and anything you write in the contact form.
  • Information from phone calls: your phone number, the date and time, what was scheduled or requested, and, if you agree to it, a recording and transcript of the call.
  • Information about text messages: your mobile number, your consent and when it was given, the messages we sent, and delivery results.
  • Information collected automatically on this website: IP address, browser and device type, pages visited, and similar technical data collected through cookies and standard website analytics.
  • Clinical information: collected through intake forms, sessions, and our client portal, and held under HIPAA as described in our Notice of Privacy Practices.

Please do not include sensitive clinical details in the contact form, an email, or a text message. Those channels are not monitored continuously and are not secure enough for that information.

Our AI phone assistant

We use an AI voice assistant that answers calls to our office. It tells you at the start of the call that it is an automated assistant. It is not a person, not a therapist, and not a licensed clinician. It can take a message, share office hours and directions, help with scheduling requests, and, if you agree, send you a text with that information. It does not provide therapy, counseling, clinical advice, diagnosis, or crisis support.

Call recording and your consent

Washington law requires the agreement of everyone on a call before it can be recorded, so we ask rather than simply announcing it. At the start of the call, before any recording begins, the assistant tells you that we would like to record the call and why, and asks whether that is okay. If you say no, the call is not recorded and you can still leave a message or ask for a callback. You can ask to speak with a person at any time by calling +1 425-248-3990.

Text messages (SMS)

How we get your number and your consent

We collect your mobile number and your consent to text you during a phone call with our AI phone assistant. When a text would be useful, the assistant asks a separate question about text messages only and sends a message only if you clearly say yes. Your answer, the date and time, and the phone number are recorded as your consent. We text only the number you called from.

There is no web form, checkbox, or keyword opt-in for this program, and we do not buy, import, or upload client phone lists into it. The phone number you enter on our contact form is used to call you back, not to send text messages, unless you separately say yes when we ask you on a call. Consent is never a condition of receiving care, and it covers SMS only.

What we send

Messages are limited to information you asked for on the call: appointment and scheduling details, office address and directions, office hours, and a callback confirmation. We do not send marketing or promotional texts, and we do not send billing, payment, or collections texts.

We do not put health information in text messages. No diagnosis, condition, treatment, therapy type, provider specialty, test results, medication, insurance details, or reason for visit. Although our vendors operate under business associate agreements with us, we treat SMS as a non-PHI channel as a matter of policy.

How we handle your mobile information

We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your personal data, including your SMS opt-in or consent status, with third parties that help us provide our messaging services, including platform providers, phone companies, and other vendors who assist in delivering text messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Opting out

Reply STOP to any message and we will send one confirmation and stop texting that number. We also honor any reasonable request to stop, including QUIT, END, CANCEL, UNSUBSCRIBE, or OPT OUT, telling our AI assistant on any call, or contacting us at +1 425-248-3990 or info@healingandrestorationcounseling.com. Reply START to opt back in. Reply HELP for support information. Message and data rates may apply.

How we use information

  • To respond to your inquiry and schedule, confirm, or change appointments
  • To send the text messages you have agreed to receive
  • To keep accurate records of what was requested and what you consented to
  • To provide care, bill for services, and work with insurers, where that applies
  • To operate, secure, and improve our website and phone system
  • To meet our legal, professional, and licensing obligations

Who we share information with

We do not sell your information. We do not share it with anyone for their own marketing or advertising.

  • With vendors who work on our behalf: our AI phone assistant provider, messaging provider, client portal and practice management systems, and website host. Any vendor that handles protected health information does so under a business associate agreement.
  • With other health care providers involved in your care, and with insurers, as described in our Notice of Privacy Practices.
  • Where the law requires it, or to respond to valid legal process.
  • Where there is a serious and imminent threat to health or safety, as HIPAA and state law permit.
  • With your written authorization, for anything else.

Cookies and website analytics

This website uses cookies to make the site work and, where enabled, standard analytics to understand how visitors use it. You can block or delete cookies in your browser settings; parts of the site may not work as well if you do. We do not use this website to serve you targeted advertising, and we do not use advertising trackers or social media pixels on it.

Consumer health data (Washington residents)

Washington's My Health My Data Act protects health-related information that is not already covered by HIPAA, for example information you share before you become a client. This section is our consumer health data privacy policy under that law.

What we collect

Consumer health data we may collect includes: the fact that you contacted a counseling practice; the service or location you selected on our contact form; anything you choose to tell us in a message, a call, or a text; and, if you agree to recording, the recording and transcript of your call.

Why we collect it and how we use it

We collect it to respond to you, to schedule or confirm an appointment, to route you to the right location and clinician, and to keep a record of your consent. We do not use it for advertising, and we do not sell it.

Who we share it with

We share it only with the service providers listed above who operate our phone, messaging, website, and scheduling systems under contract, and where the law requires. We do not sell consumer health data, and we will not do so without your separate, signed authorization.

Your rights

You may ask us to confirm whether we collect, share, or sell consumer health data about you; ask for a list of the third parties we have shared it with; ask us to delete it; and withdraw consent. To exercise these rights, or to appeal a decision we make about a request, contact us at info@healingandrestorationcounseling.com or +1 425-248-3990. We will respond within 45 days and will not discriminate against you for exercising them.

How long we keep information

  • Contact form submissions: retained until your inquiry is resolved and for 90 days afterwards
  • Call recordings and transcripts: retained for 90 days, then deleted
  • Text message content and delivery logs: retained for 90 days, then deleted
  • Records of your consent and of any opt-out: retained for as long as required to demonstrate compliance, then securely disposed of
  • Clinical records: retained for the period required by the licensing rules of the state where you received care

Your rights

For your health information, HIPAA and state law give you the right to see and get a copy of your record, to ask us to correct it, to receive a list of certain disclosures, to ask us to limit how we use or share it, and to receive a copy of our Notice of Privacy Practices. That notice describes these rights in full.

You also have the right to ask us to communicate with you by alternative means or at an alternative location, for example a different phone number, no texts at all, or no voicemail, and we will accommodate reasonable requests.

Security

We use administrative, physical, and technical safeguards to protect your information and require the same of the vendors who handle it for us. No system is perfectly secure, and ordinary email and text messages are not secure channels, which is why we keep health information out of them.

Children

This website is not directed at children under 13, and we do not knowingly collect information from them through it. Where we provide care to a client under 18, a parent or legal guardian is generally involved in consent, subject to the law of the state where care is provided.

Changes to this policy

We may update this policy. The current version is always on this page, with the date it was last updated at the top.
